FLIGHT ARRIVALS

Please refer to ARRIVAL & DEPARTURE for more important information regarding your travel.

If you are flying to the Workshop, and especially if you are staying in the dorms, you need to keep the workshop schedule in mind when arranging your arrival and departure times. Remember, when arriving on Sunday, you may arrive as early as you want, but your flight needs to touch down no later than around 2:30pm ... if that's not possible to arrange, you should consider arriving a day early, on Saturday. If you must come in on Saturday, you need to arrive by 9pm.

FLIGHT DEPARTURES

Most people will leave on Friday

You may schedule a departure time for Friday after the combo performances, but do NOT schedule a departure before 5:00pm Friday - doing so may make it impossible for you to get to the airport on time as well as perhaps missing your final combo performance.

IMPORTANT INFORMATION:

WEEK "A"
The last night in the dorm is FRIDAY, July 6th. CHECK-OUT is 9am SATURDAY

WEEK "B"
The last night in the dorm is THURSDAY, July 12th. CHECK-OUT is 7pm FRIDAY

Due to circumstances beyond our control, you only have the option of staying over until Saturday morning at the end of WEEK "A."

If you plan on staying in the dorms on FRIDAY, JULY 6th, YOU MUST LET US KNOW BY JUNE 1st - NO EXCEPTIONS. If you do NOT let us know that you will be staying FRIDAY NIGHT, we MAY GIVE YOUR ROOM TO SOMEONE ELSE. Please remember, the dorms MUST BE EMPTY BY 9:00am ON SATURDAY MORNING. Absolutely NO exceptions can be made.

YOU CAN NOT STAY IN THE DORMS ON FRIDAY, JULY 13th. If travel arrangements dictate that you stay in Louisville on Friday, July 13th, you MUST MAKE OTHER ARRANGEMENTS.

AIRPORT SHUTTLE SERVICE

If you are flying and staying in the dorms we can pick you up at the airport (all fees due before June 1st). Our shuttle typically is scheduled:

PICKUPS FROM THE AIRPORT TO THE UNIVERSITY
• Friday -- 2pm - Midnight
• Saturday -- 9am - Midnight
• Sunday -- 9am - 3pm

DROP OFFS FROM THE UNIVERISTY TO THE AIRPORT
• Friday -- 12 Noon - 7pm
• Saturday -- 5am - 10am

We need the following information from you by JUNE 1st:

• Date of Arrival
• Arrival Time
• Airline
• Flight number

You will fly into LOUISVILLE INTERNATIONAL AIRPORT (SDF) (sometimes called by its old name "Standiford Field."). It is only a short 10-15 minute drive from the University of Louisville campus. When you get to the airport, go to the baggage claim area (just follow the signs - it's a small airport). We usually have a greeter at the bottom of the escalators in the baggage claim area with a sign. It should say "Aebersold Summer Jazz Workshops" or something similar - look for that person -- BUT -- WE DON'T ALWAYS HAVE SOMEONE IN THE AIRPORT. We typically have someone inside during "peak" times.

If you don't see our airport greeter, don't panic! - please do the following:

After picking up your luggage, walk outside through the sliding glass doors behind you. Travel the crosswalk to the far side where the taxis and hotel shuttles are. Look for a shuttle/bus marked FREE ENTERPRISE. (They are usually white with orange lettering). The shuttle bus driver will have a roster of everyone flying in - and they will know where to take you (depending on what time you arrive - you will likely be going to your dorm to check in first).

If the shuttle bus isn't waiting for you when you arrive, DON'T PANIC - there are frequent pick-ups all day (every 20-30 mins.) Don't worry - we WILL be there, and we WILL be looking for you. If you do run into any SERIOUS problems, you can try calling the University at 502-852-0522. PLEASE BE PATIENT when waiting for the shuttles.

In the event that you have baggage problems (i.e. your bags do not arrive with you), please go to the claims office for your airline and fill out a claim. In most cases, your luggage will arrive on the next inbound flight and the airline will deliver your luggage. The address for delivery is:

You may also give YOUR cell phone number if you have one, and they will contact you with delivery information. Please do NOT give them ANY contact information other than your OWN unless absolutely necessary.

Again, please be sure to look for our airport greeters first - they will be able to help you should you have any problems.

CRITICAL AIRLINE NOTICE:
PARTICIPANTS 17 AND YOUNGER

FLYING AS AN UNACCOMPANIED MINOR

Airlines have recently reinforced rules concerning the travel of persons under the age of 15. The following information is CRITICAL to the arrival of students at Louisville International Airport. Please read thefollowing instructions CAREFULLY!

Unaccompanied Minor Status is a designation given by airlines to children who are flying without adult supervision. This designation, as we know it, is mandatory for persons 14 and under, and optional for persons 15-17 years of age. Individual airline policies vary, but all require, in advance, the name of the exact person picking up the person(s). This escort must go through security to accompany the person(s) to and from the gate. Additionally, at the time of departure, the escort may not leave the gate until the plane is in the air. A fee of $40.00 - $60.00 (or more!) per flight leg is typical for this Unaccompanied Minor Status

** We MUST ask that you do NOT use this service. DO NOT choose an airline that REQUIRES it. **

While we are very concerned for safety, the staff of the Summer Jazz Workshops do NOT have the ability to personally escort or pickup 200+ people at their respective gates in the airport. We have over 400 people coming to our workshops with most ALL of them flying from ALL over the world.

We have gathered information from all the airlines that fly into Louisville to help you better plan your student's travel. This information is good as of January 2007 - HOWEVER, WE INSIST THAT YOU CONTACT THE AIRLINE OF YOUR CHOOSING just to make SURE - We all know how quickly air travel has changed and is changing since 9/11. We therefore ask that you choose the airlines where your student will be allowed to travel as an ADULT.

• Southwest Airlines & Jet Blue - Students who are 12 and older can fly as ADULTS.

• American/American Eagle, Continental/Continental Express, Delta, Delta Connection, Midwest/Midwest Connect, Northwest/Northwest Airlink, United, & US Airways Express - Students who are 15 and older can fly as ADULTS.

REMEMBER, do NOT choose UNACCOMPANIED MINOR STATUS!

If you have a student who is under 12 years old, and they REALLY want to come to the camp and you REALLY want to send them, please contact us to discuss possible solutions. ALSO, if you simply CANNOT under ANY circumstances obtain a flight where your student can fly as an adult, PLEASE call us FIRST to discuss possible solutions.

ADDITIONAL INFO FOR PARTICIPANTS UNDER 18

If you have someone who is under 18 and will be flying, PLEASE encourage them to call home during their travel. We have had situations in the past where a student was supposed to come in on a certain flight at a certain time and they were NOT here!! Typically, the student had missed the flight, usually a connecting flight, and caught a later one, where we found them LATER. In this case, if the student has NOT informed you that he/she missed a connecting flight and will be coming later, YOU the PARENT get a message from us saying your child is MISSING. This is not a pleasant situation for either party, and it is a situation we would like to avoid.

So, if they do miss a flight and will be coming in later, it is best that if we call home, you KNOW about it and can tell us when to expect them.
